Pencil-whipping a pre-start check takes ten seconds. Cleaning up after a hydraulic blowout, or answering to WorkSafe because a critical fault got "ticked and flicked," takes weeks and costs tens of thousands.

In wet hire, the pre-start isn't paperwork. It's your primary liability shield. And right now, most of them aren't holding up.

The problem isn't the checklist. It's what happens after it.

Every operator knows the drill: walk around the machine, tick the boxes, sign it off, start work. On a good day, that process catches a real defect before it becomes a real problem. On a bad day, it's a ritual, ticked because it has to be, not because anyone actually checked.

The gap between those two days is where the risk lives.

Defect visibility. When an operator notices something off (a slow leak, a warning light, a noise that wasn't there yesterday) and there's no fast way to flag it, the easiest thing to do is tick "OK" and mention it later. It doesn't protect the operator, the supervisor, or the business.

Client confidence. Tier 1 contractors are getting stricter, not looser. Digital, time-stamped pre-start records before gear hits the ground are becoming a condition of engagement, not a nice-to-have. Suppliers who can only offer a paper trail are quietly being dropped from panels, not because of one incident, but because the risk of not knowing is now too expensive to carry.

What tick-and-flick actually looks like on site

It rarely looks like negligence. It looks like a normal Tuesday.

An operator jumps into an excavator that's been fine all week. There's a slight delay on the hydraulics, nothing dramatic, the kind of thing you'd mention to the workshop "when you get a chance." The pre-start sheet has a line for hydraulics. It gets ticked, because technically the machine started and moved. The operator makes a mental note to flag it at smoko.

Smoko gets busy. The note doesn't get made. The machine runs the full shift, then the next one, then the one after that under a different operator who has no idea there was ever a delay to begin with, because nothing was ever recorded, just remembered by someone who's now on a different job.

That's the failure mode digital pre-starts are meant to close. Not dishonesty, but information that had nowhere to go.

What "digital pre-start" actually needs to do

Digitising the checklist alone doesn't fix tick-and-flick. It just moves the same shortcut onto a screen. The fix is in what happens the moment a defect gets flagged.

  • Defects raised on the spot get routed immediately. Not filed, not left for someone to notice at end of week. A fault logged from the cab should land in the workshop queue before the operator's finished their shift.

A missed defect doesn't just cost the repair. It costs the downtime while the machine's off-site, the reshuffled crew, the client conversation about why the job's behind, and, if it happens more than once, the contract itself.

Compare that to the cost of catching it: an operator flags a fault from the cab, it's in the workshop queue in seconds, and the machine gets pulled before it fails on someone else's site.

Questions worth asking about your current process

Before you can fix pre-start compliance, it helps to know exactly where it's leaking. A few worth putting to your own team:

  • If an operator notices a minor fault right now, how many steps does it take before someone in the workshop actually sees it?

  • Could you pull a timestamped, signed pre-start record for any machine, any shift, in under two minutes, right now, today?

  • Do your supervisors see defect patterns across the whole fleet, or only what's in front of them on a given site?

  • If a Tier 1 client asked for proof of pre-start compliance across your fleet tomorrow, what would you actually send them?

If any of those answers make you wince a little, that's the gap tick-and-flick culture is hiding in.
